best practices & tips.

Creating Your Presentation

  • Develop your presentation as an outline of the subject you plan to cover.Keep your slides simple and concise (additional words or elaboration can be moved down to your speaker notes.)
  • Use animation only when it is pertinent to how you are presenting. In other words, keep animation to a minimum – it can be very distracting.
  • Remember, your audience should be focused on you and the information you are presenting, not the animations or distractions of your slides.

Text Guidelines

  • Type should be large enough to be readable to your audience.
  • Suggestions: Minimum 30 point for titles and 24 pt for body text. (No font should be smaller than 18 pt.)
Slide titles should be a larger type size than body elements.
  • Emphasize important statements or words with color, bold, italic, or size.
Sans serif fonts, such as Arial, are easier to read.

Content on a Slide

  • As a general guideline, use the Rule of 7:
    • 7 lines of text
    • 7 words per line
  • Leave plenty of ‘white space’. You do not need to completely fill the slide with information.

Color

  • Choose color carefully
  • Be consistent. Use the same color(s) throughout the presentation.
  • Use dark colors on a light background, or light colors on a dark background. This will provide the greatest contrast and visibility.
  • In a large audience setting, use a dark background for your slides. This is easier on the audience’s eyes.

Charts/Tables

  • Solid colors or one color gradients convey a clear, bold message.
  • Patterns are difficult to read.
Use simple tables to present numbers.

Quick Tips

  • Before you begin working on a presentation, make sure you are using the correct template.
  • Make sure to apply the correct layout for each slide, and place your type in the appropriate text or object boxes. (this will make formatting much quicker, should you need to use a different template)
  • Turn off “Fast Saves”. This will keep your file size down.
    • “Tools”, “Options”, “Save” tab, Uncheck “
    • Allow Fast Saves”.
  • Check for Black and White printability.
    • “View”, “Color/Grayscale”, “Grayscale” or “Pure Black and White”.
    • Note: whatever changes you make in this mode, does not affect your color version.
  • Turn on your guidelines so items can be aligned properly.
  • Use the right mouse button as a short cut to many of the formatting and editing options.
  • Apply a Slide Transition to each slide.
  • Before presenting, make sure all screen savers and power management options are turned off.
  • End with a logo or theme slide to create a finished look for your presentation. It also provides a great backdrop if you are following the presentation with a question and answer session.
